Who UltraLyfe Is

UltraLyfe LLC ("UltraLyfe," "we," "our," or "us") provides the UltraLyfe Practice OS and related Services to health and wellness professionals.

Scope

This Privacy Policy applies to your use of our public website, the UltraLyfe Practice OS, private strategy and coaching interactions handled through the Services, and other UltraLyfe experiences that link to this policy.

Third-party services referenced in this policy operate under their own terms and privacy policies.

Information We Collect

Information you provide directly, including your name, email address, business or practice details, information submitted through the Discovery Fit Check, information submitted through account signup and enrollment, information you enter into Practice OS modules such as business plans, weekly focus, strategy notes, and support requests, and information you provide during coaching interactions.

Information you choose to enter about other people, including leads, prospects, clients, business contacts, referral sources, and other third parties, which may be entered through areas such as Leads CRM, Clients, Client Portal, strategy and business notes, and support interactions. This is distinct from information UltraLyfe collects directly.

Account and technical information generated through your use of the Services, including account identifiers, session information, and log information.

Payment-related information handled by our payment processor, as described in the "Payment Information" section.

How We Collect Information

Directly from you when you interact with the public site, complete the Discovery Fit Check, create an account, start a trial, enroll in a package, submit information into Practice OS modules, submit support requests, or otherwise interact with the Services.

From your use of the Services through session and log information required to operate the platform.

From third-party service providers that help us deliver the Services, such as our payment processor, our managed backend and authentication provider, our scheduling provider, our transactional email provider, and AI infrastructure and model providers.

How We Use Information

To provide, operate, personalize, and improve the Services.

To generate AI-assisted output through UltraLyfe Coach and related features.

To communicate with you about your account, your enrollment, coaching, projects, support requests, and important updates to the Services.

To handle billing, subscriptions, payment plans, and account administration.

To detect, prevent, and respond to fraud, abuse, security incidents, and other harmful or unlawful activity.

To comply with legal obligations and enforce our Terms.

UltraLyfe Coach and AI-Assisted Features

Certain UltraLyfe Coach and AI-assisted features use third-party AI infrastructure, gateway providers, and model service providers to process prompts and generate responses. Our current implementation uses the Lovable AI Gateway.

Inputs you submit to AI-assisted features and information from your workspace that is used to generate responses may be transmitted to and processed by these providers to produce output.

AI-generated output may be incorrect, incomplete, or out of date. You are responsible for reviewing and deciding whether to use any AI-generated output.

Third-Party Service Providers

We rely on a limited set of third-party service providers to deliver the Services. Categories currently include a managed cloud database and authentication provider, a payment processor (Stripe), a scheduling provider (Calendly), a transactional email provider, and AI infrastructure and model providers accessed through the Lovable AI Gateway.

These providers process information only as necessary to provide their services to us and are bound by their own terms and privacy commitments.

Cookies and Similar Technologies

We use session and authentication cookies and similar technologies that are necessary to sign you in, keep you signed in, and operate the Services.

We do not use advertising cookies or third-party retargeting cookies through the Services.

Payment Information

Payments are processed by Stripe. Payment card details are provided to and stored by Stripe, not by UltraLyfe. We receive limited information such as billing metadata, subscription and payment status, and identifiers needed to associate the payment with your account.

Please review Stripe's own privacy notices for information about how it handles payment card details.

Communications

We may contact you by email about your account, trial, subscription, enrollment, projects, coaching, support requests, and material updates to the Services.

Where applicable, informational messages may be sent through our transactional email provider or scheduling provider (for scheduling reminders).

Data Retention

We retain account information, workspace content, and business records for as long as reasonably necessary to provide the Services, to comply with legal obligations, to resolve disputes, and to enforce our Terms.

You may contact us to request deletion of your account information as described in the "User Choices" section.

Data Security

We use reasonable administrative, technical, and organizational safeguards to protect information handled through the Services, including access controls, authenticated sessions, and reliance on established third-party providers.

No system can be guaranteed to be fully secure. You are responsible for keeping your account credentials confidential and for the security of the devices and networks you use.

User Choices

You may update account information from within the Services or by contacting us.

You may request cancellation of your Practice OS subscription through Support in the Practice OS as described in our Terms.

You may request deletion of your account information by contacting support@myultralyfe.com. Some information may be retained where required for legal, financial, or security reasons.

Privacy Rights

Depending on where you live, you may have rights regarding the personal information UltraLyfe holds about you, including the right to request access, correction, or deletion.

California residents may have additional rights under California law, where applicable. To exercise applicable rights, contact support@myultralyfe.com.

International Users

UltraLyfe operates from the United States. If you access the Services from outside the United States, you understand that your information may be processed and stored in the United States and other locations where our service providers operate.

Children

The Services are intended for use by adults 18 and older. We do not knowingly collect personal information from children under 18. If you believe a child has provided personal information to UltraLyfe, contact support@myultralyfe.com and we will take appropriate steps.

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last Updated" date below. Continued use of the Services after an update means you accept the updated policy.
